How to count wristbands per day

Who needs a new band every day, and who wears the same one all event? Here is how to count day bands, weekend passes and staff at a multi-day event.

Work it out in the configurator

Three questions for each category

The general method is in How many wristbands do we need? This guide covers what is different at an event that runs over several days. Ask three questions for each category:

  1. How many people? Tickets sold, guest list or capacity.
  2. One band for the whole event or one per day? Weekend passes and staff usually get one band. Day tickets get one per day.
  3. How many bands will be lost? Bands that are fitted wrongly, cut off, or used up when more people turn up than expected.

What often gets counted wrong

  • Weekend passes counted every day. Someone who has worn a weekend-pass band since Friday does not need a Saturday band.
  • Staff counted per shift. Count people. Someone who works three shifts wears the same band.
  • Re-entry gets new bands. It should not, as long as the band stays on. Someone who leaves and comes back just shows the same band.
  • Door sales forgotten. If tickets are sold on site, the spares need to be larger.
  • Small categories get their own bands. Every variant is at least 100 pcs. Combine small groups, see the guide to zones.

Worked example: one weekend

An invented example with 10 per cent spares, rounded up:

BandPeopleValid+10%Order
Friday day ticket1,200Friday1,3201,320
Saturday day ticket1,600Saturday1,7601,760
Weekend pass700Both days770770
Staff180Both days198198
Artists and crew45Both days50100

Artists and crew is raised to 100 pcs, because that is the minimum per design. The weekend passes are counted once, not twice.

The configurator has a +10% spares button, which adds the spares to every variant of the band type and rounds up to the nearest ten. The price box also shows whether a small top-up reaches the next step in the price tiers, where the unit price drops.

How many spares?

Wristband suppliers usually plan for 5–15 per cent. Go lower for a closed guest list and higher for door sales and outdoor events. The sources are listed in How many wristbands do we need?

Volume pricing applies to the whole order

The price tiers are calculated on all bands of the same type in the order, not per day. Friday, Saturday and weekend-pass woven wristbands are priced together. Order all the days in the same order. A later order is calculated on its own and takes 2–3 weeks again.

The day after

Leftover day bands are used up when the day is over. Bands without a date, such as staff bands, can be kept for the next event if the clasp has not been closed. Keep them locked away.

Questions and answers

Does someone with a weekend pass need a new band every day?+

No, as long as the weekend-pass band stays on for the whole event. Count weekend passes once and day bands per day.

How do we count staff who work in shifts?+

Count people, not shifts. If staff get a band that is valid on all days, one per person is enough, plus spares for late additions and bands that get cut off.

What is the minimum quantity per day?+

100 pcs per design. If a day or category is smaller than that, order 100 or combine it with another category.
